Travel Vault Holidays – Terms & Booking Conditions

1. Introduction


Welcome to Travel Vault Holidays.

These Terms & Booking Conditions explain the agreement between you (“the Customer”, “you”, or “your”) and Travel Vault Holidays (“we”, “our”, or “us”) when you request a quotation, make a booking or purchase travel services through us.


Please read these Terms & Conditions carefully before making a booking. By requesting a quotation, accepting a quotation, paying a deposit or balance, or confirming a booking, you confirm that you have read, understood and accepted these Terms & Conditions.


These Terms should be read alongside the booking conditions of the relevant airline, tour operator, cruise line, accommodation provider and any other travel supplier.


2. About Travel Vault Holidays


Travel Vault Holidays is an independent travel business providing personalised travel planning and holiday booking services.


We work with a wide range of trusted travel suppliers to help customers find suitable holidays based on their requirements and budget.


We search 100+ trusted travel suppliers, from the biggest brands to hidden gems, allowing us to offer a wide range of travel options.


Travel Vault Holidays acts as an intermediary between you and the travel supplier responsible for providing your holiday.


3. Holiday Quotations


All quotations are:

  • Subject to availability.
  • Subject to price changes.
  • Not guaranteed until confirmed.
  • Provided without obligation.

Prices may change at any time before your booking is confirmed due to supplier pricing, currency fluctuations, taxes, fuel surcharges or availability.

Travel Vault Holidays does not reserve holidays unless confirmed by the supplier.


4. Booking Confirmation


Your booking is only confirmed once:

  • the supplier has accepted your booking;
  • any required payment has been received; and
  • written confirmation has been issued.

Until then, prices, flights, accommodation and availability may change without notice.


5. Payments


Deposits and balance payments are set by the relevant travel supplier.


Failure to pay by the supplier’s deadline may result in cancellation of your booking together with loss of any monies already paid.


Travel Vault Holidays accepts no responsibility for supplier cancellation resulting from missed payment deadlines.


6. Supplier Terms


Every holiday is supplied under the booking conditions of the relevant supplier.


By confirming your booking you also agree to the supplier’s own Terms & Conditions.


Where any conflict exists, the supplier’s booking conditions relating to the holiday arrangements will normally apply.


7. Financial Protection


Financial protection depends upon the travel arrangements booked.


Where applicable, bookings may benefit from:

  • ATOL protection (where applicable)
  • Protected Trust Services (PTS) arrangements where applicable
  • Other supplier financial protection schemes

The applicable protection will be explained before your booking is confirmed.


Travel Vault Holidays does not claim that every holiday includes the same level of protection.


8. Prices


All prices shown are correct at the time of quotation.

Prices remain subject to change until booking confirmation.


Obvious pricing errors may be corrected before confirmation.


9. Passports, Visas & Entry Requirements


You are responsible for ensuring:

  • your passport remains valid;
  • visas are obtained where required;
  • all entry requirements are met;
  • transit requirements are satisfied;
  • vaccination requirements are fulfilled where applicable.

Travel Vault Holidays cannot accept responsibility for denied boarding or refused entry caused by incorrect documentation.


10. Travel Insurance


We strongly recommend comprehensive travel insurance from the date your booking is confirmed.

It is your responsibility to ensure your insurance provides suitable cover for your holiday, including cancellation, medical expenses, baggage, personal possessions and any pre-existing medical conditions.


11. Allergies, Medical Conditions & Special Requirements


If you or anyone travelling has:

  • food allergies;
  • medical conditions;
  • mobility requirements;
  • disabilities;
  • dietary requirements; or
  • requires special assistance,

you must inform us before booking.


Travel Vault Holidays will make reasonable efforts to research suitable destinations and pass your requirements to suppliers.


However, we cannot guarantee that hotels, airlines, cruise operators or restaurants will always be able to meet your requirements.


Customers remain responsible for carrying necessary medication and confirming arrangements directly with suppliers where appropriate.


12. Special Requests


Any special requests including:

  • adjoining rooms;
  • high floors;
  • sea views;
  • dietary requests;
  • celebrations;
  • weddings;
  • honeymoon requests;
  • accessibility requirements;

will be passed to the supplier but cannot be guaranteed unless confirmed in writing.


13. Travel Documents


Travel documents are normally issued electronically.


Where available they may also be posted if requested and permitted by the supplier.

It is your responsibility to check all documents immediately upon receipt and report any errors without delay.


14. Changes & Cancellations


Changes or cancellations requested after booking may incur supplier charges together with any applicable administration fees.


Supplier cancellation policies vary and may result in loss of deposits or full cancellation charges.


15. Changes by Suppliers


Airlines, hotels and tour operators occasionally change:

  • flight times;
  • accommodation;
  • aircraft;
  • itineraries;
  • facilities;
  • excursions; and
  • schedules.

Travel Vault Holidays is not responsible for changes made by suppliers but will assist customers wherever reasonably possible.


16. Force Majeure


Travel Vault Holidays accepts no liability for disruption caused by circumstances beyond our reasonable control including but not limited to:

  • severe weather;
  • natural disasters;
  • strikes;
  • war;
  • terrorism;
  • pandemics;
  • government restrictions;
  • airport closures; or
  • supplier insolvency.

17. Customer Responsibilities


Customers are responsible for:

  • providing accurate information;
  • checking all booking documents;
  • complying with supplier conditions;
  • behaving responsibly whilst travelling;
  • holding valid travel documents;
  • ensuring payments are made on time.

18. Website Information


We aim to ensure information published on our website and social media is accurate.


However, prices, offers, availability and supplier information may change without notice.

19. Privacy


Personal information is collected only for arranging your travel booking and complying with legal obligations.


Information may be shared with airlines, hotels, tour operators, insurers and other suppliers where necessary to complete your booking.


Travel Vault Holidays will never request your

 online banking passwords or other sensitive security information by unsolicited email or WhatsApp.


20. Complaints


If you experience any issue whilst travelling, you should notify the supplier immediately so they have the opportunity to resolve the matter.


If the issue remains unresolved after your return, please contact Travel Vault Holidays in writing with full details as soon as reasonably possible.


21. Limitation of Liability


Travel Vault Holidays acts as an intermediary arranging travel services supplied by third parties.

Our liability is limited to the extent permitted by applicable law.


Nothing within these Terms limits or excludes any statutory rights you may have.


22. Governing Law


These Terms & Conditions shall be governed by the laws applicable to the contract and any disputes shall be dealt with by the appropriate courts.
